Terms & Conditions, Event Space Policy

1. Acceptance of Terms

By accessing Wellington Cowork services, members agree to these Terms of Use. Changes to the terms may occur, and continued use of our services implies agreement to updates.

2. Membership

Memberships, day passes, and other services are conditional upon adherence to these terms. We reserve the right to suspend membership if these terms are violated. Timely payment is required for access.

3. Access & Security

Members receive unique access credentials, which cannot be shared. Lost keys or credentials should be reported immediately. Access to certain spaces may be limited by member plan or time of day.

4. Code of Conduct

Respect for fellow members, staff, and property is required. Discrimination, harassment, or disruptive behavior results in immediate membership termination without a refund.

5. Use of Space

Members are responsible for keeping workspaces, meeting rooms, and shared areas clean. Meeting rooms require pre-booking and are limited to reserved times to ensure availability.

6. Cancellation & Refunds

Cancellation requests must be in writing. Refund eligibility varies by plan type. Generally, day passes and short-term bookings are non-refundable unless stated otherwise.

7. Liability

Wellington Cowork is not liable for injuries, lost property, or personal damages. Members should consider their own insurance for personal belongings and liability.

8. Health & Safety

All health and safety protocols must be followed, including emergency exits and fire safety. Government safety guidelines are also observed.

9. Intellectual Property & Internet Use

Members retain IP rights to their work. However, shared resources such as the internet are to be used responsibly; illegal activities (e.g., hacking, unauthorized access) are prohibited.

10. Termination of Services

Membership may be terminated for violating these terms, with no refunds provided.

11. Privacy

Data collected via our booking systems is stored securely and not shared externally. Privacy is a top priority.

12. Governing Law

All terms are governed by Ontario law, with disputes resolved within Ontario’s jurisdiction.

Event Space Rental Terms & Conditions

1. Booking & Confirmation

A booking is confirmed once payment is received. Event details (attendance, special requirements) must be provided accurately. Wellington Cowork reserves the right to decline bookings that do not align with our guidelines or capacity.

2. Payment Terms

Full payment, and deposit is required upon booking. Additional charges apply for extended hours, special equipment, or damages.

3. Cancellation & Refund Policy

• 14+ Days Prior: Full refund.

• 7-13 Days Prior: 50% refund.

• Less than 7 Days: No refund.

• Date changes are allowed, subject to availability, with a minimum of 7 days’ notice.

4. Setup & Breakdown Time

Setup and cleanup should occur within the booked hours. Extended time outside of reserved hours incurs extra charges.

5. Space Use

Our event space is suited for professional and social events. Alcohol is not allowed. Wellington Cowork reserves the right to end events causing disruption or violating safety policies.

6. Liability & Damage

Clients are liable for damages during the rental period. Wellington Cowork is not responsible for personal injuries, lost property, or damages.

7. Equipment & Services

Basic event equipment is provided (tables, chairs, AV equipment). Requests for additional setup must be made 72 hours before the event and may incur additional fees.

8. Force Majeure

Wellington Cowork is not liable for cancellations due to events beyond our control (e.g., natural disasters, government restrictions).

9. Security Deposit

A refundable security deposit equal to 100% of the rental cost is required and refunded within 3 business days post-event, provided no damages occur.

10. Parking Regulations

Events must strictly adhere to the designated parking allocation. The event organizer is responsible for ensuring that attendees do not exceed the agreed-upon number of spaces. The total available for event bookings is eight (8) spots, and exceeding this limit is considered a breach of contract. Overflow parking is not permitted.

11. Signage Restrictions

No external signage, banners, or promotional materials may be placed outside the building without explicit written approval. Unauthorized placement of signage is a violation of the rental agreement.

12. Breach of Terms & Immediate Termination Rights

Failure to comply with any of the above rules constitutes a breach of contract, and the management reserves the right to terminate the rental agreement without notice and without obligation to provide the 45-day notice period.

 

General Policies for All Bookings, Plans, & Activities

• Amenities: Members and renters have access to high-speed internet, coffee/tea, snacks, printing, kitchen facilities, and private meeting rooms (when booked).

• Flexible Cancellation Policy: Meeting room cancellations may be made 48 hours in advance for a full refund, or 24 hours in advance for a 50% refund.
